Abstract Submission Guidelines

1. General Guidelines
  • Abstracts must be submitted online through the official conference portal
  • The presenting author must be registered for the conference
  • Abstracts must be submitted in English only
  • Maximum 2 abstracts can be submitted per presenter, but each must be submitted separately
2. Abstract Structure
  • Title: Concise, in sentence case (no abbreviations)
  • Authors: Full names with institutional affiliations. Presenting author should be underlined
  • Background: Brief context or rationale
  • Methods: Key methodology or study design
  • Results: Important findings with supporting data (do not state "results will be discussed")
  • Conclusion: Main outcome and relevance to oncology practice/research
3. Formatting Requirements
  • Word limit: 200 words maximum (excluding title and authors)
  • Font: Times New Roman, 12-point, single spacing
  • No tables, figures, or graphs permitted in the abstract (unless specifically allowed)
  • Standard abbreviations may be used, but define on first use
  • Avoid brand names—use generic drug names
4. Review & Selection
  • All abstracts will undergo peer review by the Scientific Committee
  • Selected abstracts will be considered for:
    • Oral Presentation
    • Poster Presentation
  • Notification of acceptance will be sent by 20/10/2025
  • The committee reserves the right to assign abstracts to oral/poster sessions
5. Awards
  • Best Oral Presentation Award Three awards
  • Best Poster Award Three awards
  • Best Video Presentation AwardThree awards

  • Young Investigator Award For researchers ≤40 years

Video Submission Guidelines

1. General Rules
  • Videos must be related to surgical oncology techniques, innovations, or case demonstrations
  • The presenting author must be registered for the conference
  • Submission is only through the official portal/email
  • Each submission should include both a video file and a written abstract (structured as Background, Technique, Outcome, Conclusion)
2. Video Specifications
  • Duration: Maximum 8 minutes (shorter preferred)
  • Format: MP4, MOV, or AVI
  • Resolution: Minimum 720p HD (1080p preferred)
  • File Size: Up to 500 MB (larger files may be requested via link)
  • Editing: Videos may include narration, annotations, or captions for clarity
  • Background music is not allowed; narration must be in English
  • Patient identity must be fully anonymized (no names, faces, or identifiable marks)
3. Abstract Requirements (to accompany video)
  • Title of procedure / innovation
  • Author(s) and institutional affiliation
  • Background / Indication
  • Surgical Technique (brief steps)
  • Outcome and Conclusion
  • Word limit: 250 words
4. Ethical Considerations
  • All videos must comply with ethical standards of surgical practice
  • For patient-related material, ensure:
    • Informed consent obtained (written confirmation required)
    • Institutional/IRB clearance (if applicable)
    • Generic names for drugs/devices should be used
5. Review & Selection
  • Videos will be peer-reviewed by the Surgical Oncology Video Committee
  • Evaluation criteria include:
    • Educational value
    • Originality and innovation
    • Technical clarity
    • Adherence to time and format
  • Selected videos will be scheduled as:
    • Oral Video Presentation (live discussion)
    • Video Poster Session

Guidelines for Submitting Educational Reels

Theme: Hazards of Smoking
1. Objective
  • To create engaging, easy-to-understand reels for patients and the general public
  • Content should raise awareness, correct myths, and encourage quitting
  • Submissions should be scientifically accurate and ethically appropriate
2. General Rules
  • Reels must be original, created by the submitting individual/team
  • The presenting author/creator must be registered for the conference/campaign
  • Submissions should be in English or regional languages (with English subtitles)
  • Content must be free from commercial promotion of any product or brand
3. Video Specifications
  • Duration: 30–90 seconds (strictly within social media reel format)
  • Format: MP4 or MOV, vertical orientation (9:16)
  • Resolution: Minimum 720p (1080p preferred)
  • File Size: Up to 100 MB
  • Style: Can include narration, text overlays, animations, or role-play
  • Background music must be copyright-free
4. Content Requirements
  • Scientific accuracy (evidence-based messages)
  • Patient-friendly language (avoid heavy medical jargon)
  • Focus areas may include:
    • Hazards of smoking on lungs, heart, cancer risk, pregnancy, etc.
    • Secondhand smoke effects
    • Benefits of quitting smoking
    • Myths vs. facts
  • Content should be non-stigmatizing and supportive
  • Avoid graphic images that may cause distress unless used responsibly for education
5. Ethical Considerations
  • No depiction of real patients unless consent is documented
  • Actors must not promote smoking (cigarette props, if used, should be handled carefully and for educational demonstration only)
  • Respect cultural sensitivities and avoid offensive language
6. Review & Selection
  • Submissions will be reviewed by the Education & Outreach Committee
  • Evaluation criteria:
    • Educational value
    • Creativity & clarity
    • Patient engagement potential
    • Accuracy of information
  • Selected reels may be showcased during the conference and shared on official platforms
